Your online booking page

Every clinic has an online booking page that patients can use without an account. It’s part of your patient portal, carries your branding, and is the main way new patients join your clinic.

Where to find it

Your booking page is at app.clinicifyapp.com/c/your-clinic/bookings/new, where your-clinic is the end of your Patient portal URL under Clinic settings > Details. Link to it from your website, social media or email signature. Search engines can find this page, unlike the rest of the portal, which stays private.

Anyone visiting your portal without signing in sees a Book link at the top. Signed-in patients can also select Book an appointment on their portal home page, or Book now on their Bookings page.

What patients see

  1. Book an appointment: your active appointment types, grouped by category, with the duration, price, any booking fee and your description.
  2. Choose a practitioner: the owners and practitioners who offer that appointment type and have set working hours, plus I don’t mind, which shows the next free times with anyone. Receptionists are never listed. If only one person offers the type, this step is skipped.
  3. Choose a time: every day with free times, from today up to your booking horizon (60 days unless you change it). The times come from each person’s working hours, less existing appointments, time off, the booking lead time and any busy times in a connected calendar. A cancelled appointment doesn’t block its time.
  4. Confirm your booking: a summary with the date, time, total price and, if there is one, the booking fee due today.
  5. Your details (patients who aren’t signed in): the patient enters their email address.
    • If the email is new to your clinic, they enter their first and last name and, optionally, a UK mobile number for appointment reminders. Clinicify creates their patient record and signs them in. If they give a mobile number, appointment texts are turned on for them. Marketing texts stay off.
    • If the email already belongs to one of your patients, Clinicify emails a 6-digit code. The patient enters it to confirm it’s them, and the booking goes on their existing record.

Booking fees

If the appointment type has a booking fee, the patient is sent to a secure Stripe checkout to pay it. Their card is saved so you can charge a no-show fee under your booking policy. The booking stays Pending until the fee is paid. If it isn’t paid within 15 minutes, the booking is released and the time becomes free again. See Take booking fees.

If your Stripe account isn’t connected, bookings for types with a booking fee are confirmed without taking the fee.

After booking

Once the booking is confirmed (straight away, or once the fee is paid), the patient gets a confirmation by email, and by text if they’ve turned texts on. For video appointments the confirmation includes the join link. The appointment appears in your Bookings calendar.

Good to know

  • Only active appointment types appear. If none are active, patients see a message asking them to contact the clinic.
  • When a patient chooses I don’t mind, each time is given to the first team member free at that time. Whichever way they choose, only team members who offer that appointment type under Specialisations are included. See Set your working hours, buffers and time off.
  • If your clinic has reached its plan’s patient limit, new patients can’t book online and are asked to contact the clinic. Existing patients can still book. See Patient limits on your plan.
  • Patients cancel from the Bookings page in their portal. There’s no option to move a booking: they cancel and book again. The cancelled time is free to book again straight away.
