Using the bookings calendar
- Everyone
On this page
The Bookings page is your clinic’s diary. It shows a week at a time, with every appointment booked online or by your team, and it’s where you open an appointment to update it.
Select Bookings in the left sidebar to open it. Everyone on the team can see the calendar and every appointment in it.
The week view
The calendar shows Monday to Sunday, from 07:00 to 20:00. Today’s column is lightly shaded. Use the arrows either side of the date range to move back or forward a week.
Each appointment shows its start time and the patient’s name, and on longer appointments the appointment type. A camera icon marks a video appointment and a phone icon marks a phone call.
Viewing one person or everyone
The calendar opens on your own appointments. If your clinic has more than one team member, the Viewing: buttons above the calendar let you switch:
- All shows everyone’s appointments, each practitioner in their own colour, matching the dot beside their name.
- Selecting a person shows only their appointments, coloured by status.
Status colours
When you’re viewing one person, each appointment is coloured by its status. Completed appointments are green, no-shows are amber, and cancelled appointments are grey with the text struck through. Pending and confirmed appointments use quieter neutral shades.
Cancelled appointments stay on the calendar so you can see what happened. See Appointment statuses.
Opening an appointment
Select an appointment to open its page. From there you can see the patient, type, practitioner, price and payments, resend forms, and mark the appointment complete, a no-show or cancelled.
Buttons on the Bookings page
- New booking: add an appointment for a patient. See Book an appointment for a patient.
- Availability: set your weekly hours and single-day overrides. See Set your working hours, buffers and time off.
- Analytics: see which treatments are booked most and least. See Booking analytics.
- Manage types (owner only): go to your appointment types.
Good to know
- Appointments that start before 07:00 or at 20:00 or later don’t appear in the week view.
- Times on this calendar are shown in your device’s time zone. An appointment’s own page, the dashboard and the messages patients receive use your clinic’s time zone, set under Clinic settings > Details.
- The calendar shows appointments only. Working hours and time off aren’t shaded in.
