Create and manage appointment types

Appointment types are the services patients can book: a consultation, a treatment, a review. Each type sets how long the appointment lasts, what it costs and where it happens.
Before you start
- Only the clinic owner can create, edit or delete appointment types.
- To take booking fees, connect Stripe first. See Connect Stripe to take payments.
- For video appointments, the practitioner needs Zoom or Google Calendar connected. See Set up video consultations.
Steps
- Open the account menu at the bottom of the left sidebar and select Clinic settings.
- Under Scheduling, select Appointment types. You can also select Manage types on the Bookings page.
- Select New type.
- Enter a Name, and optionally a Category (types are grouped by category on your booking page) and a Description, which patients see when they book.
- Enter the Duration (min), between 15 and 480 minutes, and any Buffer after (min), up to 60 minutes.
- Enter the Price (£) and, if you want patients to pay part of it when they book, a Booking fee (£). Leave the booking fee at 0 for none.
- Choose a Location:
- In person, at the clinic: optionally add a Room / location, such as “Room 2”.
- Virtual, video consultation: choose the Video provider, Zoom or Google Meet. If only one is connected at your clinic, it’s chosen for you.
- Phone call: the clinician calls the patient on the number in their record.
- Tick Aesthetic treatment if completing this appointment should create an aesthetic record, with before and after photos, photography consent and injection mapping.
- Tick Hide from patient treatment history for internal appointments, such as admin slots or phone triage.
- Select Create type.
What happens next
New types are active straight away and appear on your online booking page. The list shows each type’s duration, price, booking fee and status, grouped by category.
Edit, deactivate or delete a type
Use the buttons at the end of each row:
- Edit (pencil): change any detail, then select Save changes. Existing appointments keep their original time.
- Forms: choose which forms go to patients who book this type. See Link forms to appointment types.
- Deactivate or Activate: an inactive type disappears from your online booking page, but existing appointments are unaffected. Use this for seasonal or paused treatments.
- Delete permanently (bin): removes the type for good. Existing appointments stay in the diary but no longer show a type name. This can’t be undone, so deactivate instead if you might need it again.
Good to know
- Hide from patient treatment history also means Clinicify doesn’t send a booking confirmation when your team books this type for a patient.
- If Xero is connected and your clinic charges VAT, the form also shows VAT exempt, for treatments that sync to Xero as exempt income.
- The booking fee is taken when the patient books online. See Take booking fees.
- To add many types at once, see Import appointment types from a spreadsheet.
