Every appointment has a status. You change it from the buttons at the bottom of the appointment’s page: select Bookings in the left sidebar, then select the appointment. Anyone on the team can change a status. Each button asks you to confirm before anything happens.

The statuses

StatusWhat it means
PendingBooked online and waiting for the patient to pay the booking fee. Released after 15 minutes if it isn’t paid
ConfirmedBooked and going ahead. Bookings your team makes start here
CompletedThe patient attended
No-showThe patient didn’t attend
CancelledCancelled by the patient or the clinic. This is final

What each action does

Mark complete

Available on confirmed appointments. Select Mark complete, then Yes, mark complete.

  • Clinicify creates a treatment record for the appointment, which you can open from the appointment page to add notes, aftercare or photos. The record shows in the patient’s portal, unless the appointment type has Hide from patient treatment history ticked.
  • If the appointment type is marked Aesthetic treatment, the record is an aesthetic record with photos, photography consent and injection mapping.
  • If you send aftercare forms a set time after an appointment, they’re scheduled now.

See How treatment records work.

Mark as no-show

Available on confirmed appointments. Select Mark as no-show, then Yes, mark as no-show.

If your booking policy has a no-show fee and the patient paid a booking fee online, Clinicify charges the no-show fee to their saved card. If the card can’t be charged, the appointment page shows a warning so you can follow up. See Charge no-show fees.

Cancel appointment

Available on pending and confirmed appointments. You must give a reason. The patient is told, and any booking fee is refunded. See Cancel or move an appointment.

Confirm appointment

Available on pending appointments. Confirms the booking without waiting for the booking fee.

Reopen appointment

Available on completed and no-show appointments, if one was marked by mistake. It puts the appointment back to Confirmed.

Good to know

  • Reopening doesn’t undo what the first action did. A treatment record created on completion stays, and a no-show fee that was charged isn’t refunded. See Delete a record created in error.
  • Once a no-show fee has been charged, it isn’t charged again if you reopen the appointment and mark it as a no-show a second time. If the first charge failed, marking it again tries once more.
  • A cancelled appointment can’t be reopened, because the patient has already been told and any refund has gone. Book a new appointment instead.
