For aesthetics clinics
The paperwork is part of the treatment
An aesthetics appointment is more than a slot in a diary. It comes with a consent form, before and after photographs, a record of exactly what went where, and aftercare the patient needs at eleven at night.
Your week, as it is
- Consent here, photographs there, notes somewhere else
Three places, and only the person who was in the room knows how they join up.
- Am I suitable, at all hours
The same question through the website, by text and in your messages, and every one of them needs a careful answer.
- An empty hour with product already prepared
Somebody does not turn up, and the cost is the hour, the room and the syringe.
- Aftercare explained in the room
And forgotten by the time something feels wrong that night.
In aesthetics the paperwork is part of the treatment. The consent, the before photograph, the injection map and the aftercare are what make a result defensible, and what make a patient feel safe enough to come back.
Treated as admin, they end up scattered across a phone, a drawer and a folder. Treated as part of the treatment, they belong on one record with everything else you did that day.
What changes
- One record per treatment, ready for scrutiny
Consent, before and after photographs, annotated injection points and your notes, all attached to the appointment they belong to rather than filed separately and matched up later.
Treatment records - Consent signed before they arrive, on the exact wording
Consent forms go out automatically and come back signed, and every published version is kept, so months later you can show the wording that patient actually saw. Templates for common aesthetic treatments are there to start from.
Forms and consent - A diary that protects itself
A booking fee taken when they book, the 24-hour reminder, and a no-show fee charged to the card saved at booking. You set which treatments ask for one and what it is worth.
No-shows - Aftercare that is there when they need it
It goes out automatically after the treatment, with the red flags in the email itself, because nobody signs in to a portal at eleven at night. A clinic that follows up unasked is a clinic patients come back to.
Patient portal - Suitability questions always come to you
How long does it last gets answered straight away. Suitability, contraindications and anything about pregnancy go to a practitioner, never to an automatic reply.
Patient questions
A Tuesday, before and after
- 9am: printing consent forms for today's filler patients
- 1pm: a no-show, and product already prepared
- After a lip filler: photographs on your phone, filed later or never
- 11pm, for the patient: searching online to find out whether swelling is normal
- 9am: all three were signed at the weekend
- 1pm: the no-show fee was charged automatically
- After a lip filler: photographs on the treatment record, with consent
- 11pm, for the patient: the red flags are in the aftercare email
What you stop worrying about
- Could I prove what this patient consented to?
Yes. The signed version, the photographs and the injection map are on one record, and a published form version cannot be edited afterwards. An edit makes a new version instead.
- What if the AI answers a suitability question?
It cannot. Suitability, contraindications and pregnancy always go to a practitioner, who edits and approves the reply before it reaches the patient.
- Are patient photographs safe?
They are stored privately, served only to your team and the patient they belong to, and taken with that patient's recorded photography consent.
