How patients sign in

Patients don’t have a password for your portal. Each time they sign in, Clinicify emails them a six-digit code, and they type it in to get access. It’s more secure than a password and there’s nothing for them to forget.

How it works

  1. The patient goes to your portal and selects Sign in (the person icon in the top corner), or opens any page that needs them to be signed in.
  2. They enter their Email address and select Email me a sign-in code.
  3. Clinicify emails a six-digit code from your clinic. The subject line contains the code, so on many phones they can read it without opening the email.
  4. They type the code under Sign-in code and select Verify & sign in.

They’re then taken to the portal home page.

Rules for sign-in codes

  • A code expires after 10 minutes and can only be used once.
  • After five wrong attempts, the code stops working and the patient needs to request a new one.
  • Codes are only sent by email, never by text.
  • Your clinic will never need to ask a patient for their code. The email tells patients not to share it by phone or text.

Who can sign in

Only patients who already have a record with your clinic can sign in. They must use the email address on their record, which is the one you entered when you added, imported or booked them. Capital letters don’t matter: [email protected] and [email protected] are treated as the same address. Patients can’t create an account from the sign-in page.

A new patient gets a record in one of three ways:

  • Your team invites them. The invitation email’s Set up your portal button opens your portal’s sign-in page, and signing in with a code is all the setup there is. See Add a patient.
  • The owner imports them from a spreadsheet. See Import patients from a spreadsheet.
  • They book a first appointment on your online booking page. See Your online booking page.

If someone who already has a record books online without signing in, they’re emailed a code to confirm it’s them before the booking continues. This stops anyone booking against another person’s record.

Staying signed in

Patients stay signed in on that device for up to seven days. To sign out, they open the account menu and select Log out.

When a code doesn’t arrive

For privacy, the sign-in page doesn’t say whether an email address is registered. It moves to the code step either way, but a code is only sent if the email matches a patient record. If a patient says no code arrived:

  • Ask them to check their junk or spam folder. The first email from a clinic is often filtered there.
  • Check the email address on their record matches the one they’re typing. The email on a record can’t be changed from the Profile tab.
  • Ask them to wait a minute and select Use a different email to try again if they made a typo.
