Import patients from a spreadsheet

If you’re moving to Clinicify from another system, you can import your patients from a CSV file instead of adding them one by one.

Before you start

  • Only the clinic owner can import patients.
  • Save your spreadsheet as a .csv file. Other file types aren’t accepted.
  • Each row needs an email address. Everything else is optional.
  • You can import up to 1,000 patients at a time. For a longer list, split it into several files.

Columns Clinicify recognises

ColumnAlso recognised asNotes
emailemail address, patient emailRequired
firstNamefirst, forename, given name
lastNamelast, surname, family name
phonephone number, mobile, mobile number, telephone, telUK mobiles only
dateOfBirthdob, birth date, birthdayDD/MM/YYYY or YYYY-MM-DD
medicalNotesmedical, notes, clinical notes, history, medical historySaved to Clinical notes
allergiesallergy, allergy infoSaved to Known allergies

Column names aren’t case sensitive, and spaces in them are ignored. Columns Clinicify doesn’t recognise are left out.

Steps

  1. Select Patients in the left sidebar.
  2. Select Import CSV.
  3. If you want a starting point, select Download template CSV and copy your data into it.
  4. Drag your file onto the upload area, or select it to browse for the file.
  5. Check the preview. Each row shows Ready or the reason it will be skipped, and the summary shows how many rows are valid and how many have errors.
  6. Select Import followed by the number of patients, for example Import 120 patients.

What happens next

  • You see Import complete with the number of patients created.
  • If any rows couldn’t be imported, they’re listed with their row number and the reason, such as an email that already exists.
  • Imported patients appear in your Patients list straight away.

Good to know

  • Rows are skipped if the email is missing or invalid, the email already belongs to one of your patients, the same email appears twice in the file, the phone number isn’t a valid UK mobile, or the date of birth isn’t in a recognised format.
  • Dates are read as UK dates, so 03/04/1985 is 3 April 1985.
  • On a paid plan, an import that would take you past your plan’s patient limit is stopped before anything is imported, and you’re offered an upgrade. See Patient limits on your plan.
  • The preview shows the first 50 rows, but every valid row is imported.
