Use Manage checks to switch built-in checks on or off, set due times and assignees, and add checks of your own.

Before you start

  • Any team member can manage checks. Agree within your team who looks after this, because changes apply to the whole clinic.

Switch a check on

  1. Select Checks in the sidebar, then Manage checks.
  2. Checks are listed under Daily, Weekly, Monthly and Yearly. Each shows how many fields it has and its CQC key question, such as “safe”.
  3. Tick the box next to a check to switch it on.
  4. Set when it’s due:
    • Daily: Due by (a time). This starts at 17:00.
    • Weekly: Due day. This starts at Monday. Choose Any day to have no set day.
    • Monthly: Due day of month. This starts at 1.
    • Yearly: Due (MM-DD), for example 12-31. This starts empty.
  5. Optionally choose a person in Assigned to.

Changes save as you make them. There’s no separate save button.

Switch a check off

Untick the box. The check leaves your checks tabs and your CQC evidence dashboard. Its past records are kept, and they come back if you switch it on again.

Add a custom check

  1. On Manage checks, select Add custom check.
  2. Enter a Check name.
  3. Choose a Frequency: Daily, Weekly, Monthly or Yearly.
  4. Choose a CQC domain (Safe, Effective, Caring, Responsive or Well-led) so it counts towards that key question. Leave it as ”-” if it doesn’t fit one.
  5. Add Guidance (optional): instructions shown at the top of the form.
  6. Under Fields, enter a label and choose a type for each field: Yes / No, Tick (done), Temperature, Number, Text, Select (options), Date or Time.
  7. Set the pass rules you need:
    • For Yes / No, keep Pass = Yes ticked if Yes is the correct answer.
    • For Temperature or Number, enter a min and max.
    • For Select (options), enter the options separated by commas.
  8. Untick Required for any field that’s optional. Select Add field for more fields.
  9. Select Create check.

The new check appears under its frequency with a Custom label. Tick it to switch it on.

Delete a custom check

Select the bin icon next to the custom check, then Delete check.

Good to know

  • Built-in checks can’t be edited or deleted, only switched on or off.
  • Assigned to shows the person’s name on the check. It doesn’t send them a notification.
  • Overdue emails go to the clinic owner, and only for daily checks with a Due by time.
  • A Select (options) field has no pass rule, so it doesn’t affect compliance rates.
