How checks work

Checks are the routine safety and quality checks your clinic already does: fridge temperatures, emergency drugs, the defibrillator, fire alarm tests, hand hygiene audits and so on. Instead of a paper log, each check is a short form your team fills in on any device. Every entry is dated and signed, and the results feed your CQC evidence dashboard.

Select Checks in the sidebar to open the Compliance checks page.

How checks are organised

Checks are grouped by how often they’re due, with a tab for each: Daily, Weekly, Monthly and Yearly. Each tab shows how many checks are done for the current period, for example “3 of 5 completed for today”.

Every check has one record per period. A daily check has one record a day, a weekly check one a week (Monday to Sunday), a monthly check one a month and a yearly check one a year. If you save a check again in the same period, the existing record is updated rather than duplicated.

Built-in and custom checks

Clinicify includes a library of ready-made checks, including:

  • Daily: oxygen, room temperature, fridge temperature, emergency drugs, defibrillator, sharps bin and daily cleaning.
  • Weekly: hazards, Legionella, hand hygiene, waste management, fire alarm, fire extinguishers, emergency lighting, fire doors, escape routes, PAT and calibration, and more.
  • Monthly: medical devices review, incident and RIDDOR review, and complaints review.

Nothing is switched on for a new clinic. You choose which checks you run in Manage checks, and you can build your own from a blank template, including yearly checks. See Create and schedule checks.

Statuses

StatusWhat it means
PendingNot recorded yet for this period, and not yet past its due point.
OverdueNot recorded yet, and the due time or day has passed.
DoneRecorded, and every pass/fail answer passed (or the check has no pass/fail answers).
FlaggedRecorded, but at least one answer failed, for example a fridge temperature outside 2–8°C.

A flagged check is still saved as a record. It shows that the check was done and that something needs attention.

Pass and fail

Some answers carry a pass rule. A Yes/No question can expect Yes, and a temperature or number can have a minimum and maximum. Clinicify scores each record against those rules when it’s saved. Checks with no pass rules (for example a free-text log) count as recorded but don’t affect compliance rates.

Who can use checks

Everyone on your team (owners, practitioners and receptionists) can complete checks, manage which checks run, and see the reports.
