Record each check as you do it, so your evidence builds day by day. You can also add entries for past periods, which is useful when you move from paper logs to Clinicify.

Before you start

  • Any team member can complete checks.
  • The check must be switched on in Manage checks. If a tab says No checks enabled here yet., see Create and schedule checks.

Steps

  1. Select Checks in the sidebar.
  2. Choose the Daily, Weekly, Monthly or Yearly tab.
  3. Find the check and select Complete.
  4. Check the Date completed. It defaults to today. The line underneath tells you which period the record is for.
  5. Fill in the fields. Fields marked with an asterisk (*) are required.
  6. Add any Comments, for example what you did about a reading outside the range.
  7. Enter your name or initials in Signed (name / initials).
  8. Select Save check.

The check’s status changes to Done, or to Flagged if any answer failed its pass rule.

Edit a check you’ve already recorded

  1. On the check’s tab, select View / edit next to it.
  2. Change what you need and select Save check.

Saving again replaces the record for that period.

Back-fill past periods

  1. Select the history icon next to the check (its tooltip reads History & backfill).
  2. You’ll see recent periods with a status of Recorded, Flagged or Not recorded: the last 30 days for a daily check, 26 weeks for weekly, 24 months for monthly and 6 years for yearly.
  3. Select Record next to a missing period, or Edit next to an existing one.
  4. Fill in the check and select Save check.

You can also back-date from the normal completion dialog by changing Date completed. The field is highlighted and a message confirms that any existing entry for that period will be updated.

What happens next

  • The record appears in Your CQC evidence dashboard and in that check’s trend graph.
  • Once a daily check is recorded, no overdue email is sent for it that day.

Good to know

  • You can’t record a check for a future date.
  • If you leave a required field empty, the check won’t save and you’ll see Missing required fields.
  • If you close the dialog with unsaved changes, Clinicify asks whether to discard them.
  • When a daily check with a due time isn’t recorded by then, the clinic owner gets one email about it that day. Weekly, monthly and yearly checks show as Overdue on the page but don’t send emails.
  • The Signed field is typed text, not a drawn signature.
