Publishing forms and versions

A consent form is a record of exactly what a patient agreed to. So Clinicify never changes wording a patient may already have signed. Instead, every change becomes a new version, and publishing is the moment you approve it.

Drafts and published versions

Each form has at most one draft and one published version at a time.

  • A draft is what you’re working on. Patients never see it. Select Save draft to keep your changes without making them live.
  • The published version is what patients receive. Once published, a version can’t be edited.

The form’s page shows its state at the top: Published v2, for example, or Not published if it has never been published.

Changing a live form

  1. Go to Clinic settings > Clinic > Forms and select the form, or select Edit on its row.
  2. Select Edit new version. Clinicify copies the published version into a new draft.
  3. Make your changes, then select Publish.

The new version replaces the old one straight away. The previous version is kept and marked archived in the Version history list at the bottom of the page, alongside each version’s publish date.

If you leave a draft unfinished, it waits for you. Selecting Edit new version again reopens the same draft rather than starting another.

What happens to forms already sent

Every form sent to a patient is tied to the version that was published when it was sent. That means:

  • A patient who already signed version 1 keeps version 1 on their record, with the wording they actually saw.
  • A form sent before you published a change, and not yet completed, still shows the version it was sent with.
  • Forms sent after you publish use the new version.

Rules before publishing

Clinicify checks a draft before it can go live:

  • A consent or aftercare form needs wording. You’ll see “Add the form wording before publishing” otherwise.
  • A medical questionnaire needs at least one question. You’ll see “Add at least one question before publishing” otherwise.

Publishing also makes an inactive form active again.
