Connect your Outlook or Microsoft 365 calendar

Connecting your Outlook or Microsoft 365 calendar puts your appointments from Clinicify in your calendar, and stops patients booking you when you’re already busy. Clinicify only ever reads when you’re busy, never what the event is.
Before you start
- Anyone on the team can connect their own calendar. Each person connects their own account, so connecting yours never changes a colleague’s.
- Work or school Microsoft 365 accounts and personal Microsoft accounts (such as Outlook.com or Hotmail) both work.
- If your Microsoft 365 account is managed by your organisation, its administrator may need to allow Clinicify first.
Steps
- Open the account menu at the bottom of the sidebar and select My settings.
- In the settings menu, under Integrations, select Outlook / M365 Calendar.
- Select Connect Outlook / Microsoft 365.
- Sign in to Microsoft with the account whose calendar you want to use, and accept the permissions Microsoft shows you.
- You’re returned to Clinicify and see Calendar connected. The card now shows a Connected badge and the account you connected.
Choose what syncs
Two options appear once you’re connected. Both are on by default.
- Add my appointments to this calendar: appointments assigned to you are added to your calendar. Each event is titled “Clinic appointment”, marked private and shown as busy. It holds the time, a link back to the appointment in Clinicify and, for a video appointment, the join link, with no patient name or treatment details.
- Block bookings when I’m busy elsewhere: patients can’t book you over anything already in your calendar. Clinicify reads only the times you’re busy, never the titles or details of your events.
What happens next
- New appointments assigned to you appear in your calendar, and are removed if the appointment is cancelled.
- Your existing commitments block those times on your booking page. Clinicify keeps them up to date automatically, and the card shows when it last checked.
If you see Reconnect needed
If Microsoft stops accepting Clinicify’s access, the card shows Reconnect needed and Access expired - reconnect to resume syncing. Select Reconnect and sign in again. Your sync choices are kept.
Disconnect
Select Disconnect on the card and confirm. Appointments stop syncing and your calendar stops blocking bookings straight away. Events already added stay in your calendar; delete them in Outlook if you don’t want them.
Good to know
- Clinicify uses your main Outlook calendar.
- Events shown as free, and invitations you’ve declined, don’t block bookings. Busy times are checked up to 90 days ahead.
- Appointments booked before you connected aren’t added.
- Clinicify doesn’t create Microsoft Teams meetings. For video appointments, use Zoom or Google Meet: see Set up video consultations.
- Apple iCloud calendars aren’t supported.
