Use Google Meet for video appointments

On this page
Google Meet links are created through your Google Calendar connection. There’s no separate Google Meet connection to set up: once your Google Calendar is connected, Clinicify can create a Meet link for each video appointment assigned to you.
Before you start
- Each practitioner who holds Meet consultations needs their own Google Calendar connected. See Connect Google Calendar.
- The clinic owner sets which appointment types use Google Meet.
- If your Google account is managed by your organisation, Google Meet must be turned on for it.
Steps
Check Google Meet is ready (each practitioner)
- Open the account menu at the bottom of the sidebar and select My settings.
- In the settings menu, under Integrations, select Google Meet.
- If the card shows Ready, there’s nothing else to set up. If it shows Set up Google Calendar, select it and connect your Google Calendar.
Set an appointment type to Google Meet (owner)
- Open the account menu and select Clinic settings, then go to Scheduling > Appointment types.
- Select New type, or select Edit on an existing type.
- Set Location to Virtual, video consultation.
- Under Video provider, choose Google Meet, then select Create type or Save changes.
If Google Meet is the only video provider connected at your clinic, it’s selected for you automatically.
What happens next
- When a patient books, or you book for them, Clinicify creates an event in the assigned practitioner’s Google Calendar with a Meet link attached. The event is titled “Clinic appointment”, marked private and holds no patient details.
- The patient gets the link in their confirmation email as a Join video consultation button, and in their patient portal.
- The practitioner sees the link on the appointment as Join consultation, and as Join in today’s appointments on the dashboard.
- If the appointment is cancelled, Clinicify deletes the calendar event, which ends that Meet link. This happens whether or not Add my appointments to this calendar is on.
If you see Reconnect needed
The Google Meet card shows Reconnect needed when your Google Calendar connection has lapsed. Go to My settings > Integrations > Google Calendar and select Reconnect. Until you do, no Meet links can be created for you. Once you’ve reconnected, select Retry on any appointment that shows Link failed - check the practitioner’s integration.
If a Meet appointment is cancelled while the connection has lapsed, Clinicify can’t delete its event, so delete it in Google Calendar.
Good to know
- The practitioner the appointment is assigned to must have Google Calendar connected. A colleague’s connection isn’t used instead, and Clinicify never switches to Zoom as a fallback. The booking still goes ahead without a link. Once the connection is fixed, select Retry on the appointment page to create it. See Set up video consultations.
- A video appointment’s event always appears in your Google Calendar, even if Add my appointments to this calendar is off, because the Meet link lives on that event.
- The patient isn’t added as a guest on the Google event, so Google doesn’t email them. Clinicify’s confirmation email carries the link.
- If Google Meet is turned off for your Google account, Clinicify can’t create a link and the appointment shows Link failed - check the practitioner’s integration. Turn Meet on, then select Retry.
- There’s no reschedule option. Cancelling and booking again creates a new Meet link, so tell the patient to use the most recent email.
