Connect Google Calendar

Connecting Google Calendar does two things: your appointments from Clinicify appear in your Google Calendar, and anything already in your Google Calendar stops patients booking you at that time. Clinicify only ever reads when you’re busy, never what the event is.

Before you start

  • Anyone on the team can connect their own Google Calendar. Each person connects their own account, so connecting yours never changes a colleague’s.
  • You need a Google account with Google Calendar (a personal Gmail account or a Google Workspace account).
  • If your Google account is managed by your organisation, its administrator may need to allow Clinicify first.

Steps

  1. Open the account menu at the bottom of the sidebar and select My settings.
  2. In the settings menu, under Integrations, select Google Calendar.
  3. Select Connect Google Calendar.
  4. Sign in to Google with the account whose calendar you want to use, and accept the permissions Google shows you.
  5. You’re returned to Clinicify and see Calendar connected. The card now shows a Connected badge and the Google account you connected.

Choose what syncs

Once connected, two options appear. Both are on by default, and you can change them at any time.

  • Add my appointments to this calendar: appointments assigned to you are added to your Google Calendar. Each event is titled “Clinic appointment” and marked private. It holds the time, a link back to the appointment in Clinicify and, for a video appointment, the join link, with no patient name or treatment details.
  • Block bookings when I’m busy elsewhere: patients can’t book you over anything already in your calendar. Clinicify reads only the times you’re busy, never the titles or details of your events.

What happens next

  • New appointments assigned to you appear in your Google Calendar. When an appointment is cancelled, its event is removed.
  • Your existing commitments start blocking those times on your booking page. Clinicify keeps them up to date automatically, and the card shows when it last checked.

If you see Reconnect needed

If Google stops accepting Clinicify’s access (for example, you changed your Google password or removed access in your Google account), the card shows Reconnect needed and Access expired - reconnect to resume syncing. Select Reconnect and sign in to Google again. Your sync choices are kept.

Disconnect Google Calendar

Select Disconnect on the card and confirm. Appointments stop syncing and your Google Calendar stops blocking bookings straight away. Events already added to your calendar stay there; delete them in Google Calendar if you don’t want them.

Good to know

  • Clinicify uses your main (primary) Google calendar, for both adding appointments and checking busy times.
  • Events marked as free, and invitations you’ve declined, don’t block bookings. An all-day event blocks the whole day unless it’s marked as free.
  • Busy times are checked up to 90 days ahead.
  • Appointments are added from the moment you connect. Appointments booked before you connected aren’t added.
  • Turning off Add my appointments to this calendar doesn’t remove events already added. They’re still deleted if the appointment is cancelled.
