On this page
Clinicify won’t let you add a photo to an aesthetic record until photography consent is recorded on that record. Consent can be recorded by your team in clinic, or given by the patient in the patient portal.
Before you start
- Owners and practitioners can record consent. Receptionists can’t open treatment records, so they can’t record or view photography consent.
- Photography consent is separate from a procedure consent form. It only covers taking and storing clinical photographs. See How forms work in Clinicify for procedure consent.
Record consent in clinic
- Open the aesthetic record. Until consent is recorded, you’ll see Photo consent is required before adding photos. and Upload photo is unavailable.
- Once the patient has agreed, select Record consent.
Consent recorded this way is logged as verbal. The record now shows Photo consent recorded · verbal, recorded by staff with the date, and you can upload photos.
Use consent already on file
If the patient has given photography consent before, the record offers their most recent consent. The wording says how it was taken:
- Patient e-signed photography consent on [date]. if they signed in the portal.
- Staff recorded verbal photography consent on [date]. if your team recorded it in clinic, for example on an earlier record.
- Open the aesthetic record.
- Select Use this consent.
The record then shows Photo consent recorded followed by the method, for example e-signed by the patient or verbal, recorded by staff, and the date consent was given.
How patients give consent in the portal
Share these steps with your patient:
- Sign in to the clinic’s patient portal.
- Open Settings from the account menu at the top of the page, or from More on a phone. Under Privacy, next to Photography consent, select Manage.
- Read the explanation, type your full name under Type your full name to sign, and tick the box to agree.
- Select Sign consent.
You’ll see Photography consent confirmed. If you’ve already given consent, the page shows the date you gave it, and you can select Re-sign consent to sign again.
Good to know
- Diagrams (Face - front, Face - side, Upper body) don’t need photography consent.
- Patients can withdraw consent by contacting the clinic. The portal tells them so.
- Photos on a record the patient can see appear in their portal. See Aftercare and what patients can see.
