Patients can look back at their treatments in the patient portal, and read the aftercare you gave them. Clinical detail stays with your team.

What patients see

In the portal, the Treatments section lists each visible treatment record, newest first, with:

  • the treatment type and date,
  • the clinician who performed it,
  • how many photos it has.

Opening a treatment shows the Aftercare you wrote first, then the patient’s photos, each labelled Before, After or Progress as your team set it.

What patients never see

  • Clinical notes.
  • Injection points, products, amounts, areas and depths.
  • Diagrams (Face - front, Face - side, Upper body).
  • Records that have been deleted.

Adding aftercare to a record

Every treatment record, general or aesthetic, has an Aftercare (shown to the patient) box. Owners and practitioners can write aftercare. Receptionists can’t open treatment records, so they can’t view or add it.

  1. Open the treatment record, for example from the Treatment record link on the completed booking.
  2. Write the aftercare in Aftercare (shown to the patient).
  3. Select Save. It also saves when you move out of the box.

The patient sees it next time they open the treatment in the portal. Aftercare written on a record isn’t emailed; it’s shown in the portal only.

Keeping a visit out of the patient’s history

Some appointments, such as phone consultations or internal reviews, don’t belong in a patient’s treatment history. An owner can keep them out, because only owners can edit appointment types:

  1. Go to Clinic settings > Scheduling > Appointment types and edit the appointment type.
  2. Tick Hide from patient treatment history.
  3. Select Save changes.

Records created when that appointment type is completed won’t appear in the portal. The booking’s Treatment record link says whether the record is “visible in the patient portal” or “hidden from the patient portal”.

Good to know

  • The setting is applied when the record is created. Changing it on an appointment type doesn’t change records that already exist.
  • Records you start yourself with New treatment or New session are visible to the patient.
  • Photos on a visible record appear in the portal as soon as you upload them.
