Invite colleagues so they can sign in to Clinicify with their own account. You choose each person’s role when you invite them.

Before you start

  • Only owners can invite team members.
  • You need the person’s email address. It must not already belong to someone on your team.
  • Decide their role: Practitioner or Receptionist. To add another owner, invite them as one of these, then change their role once they’ve joined. See Owners, practitioners and receptionists: who can do what.

Steps

  1. Select your name at the bottom of the sidebar, then Clinic settings.
  2. Under Team & access, select Team members.
  3. Select Invite member.
  4. Enter their Email. Add their First name and Last name if you’d like the invitation to greet them by name.
  5. Choose a Role: Practitioner or Receptionist. Practitioner is selected to start with.
  6. Optionally, add their Professional registration (optional): choose the regulator and enter the registration number. Clinicians need this to approve answers to patients’ clinical questions, and they can add it later from their own profile.
  7. Select Send invitation.

You’ll see Invitation sent!, and the person appears in your team list.

What happens next

  • They receive an email from Clinicify saying who invited them, which clinic it’s for and their role, with an Accept invitation button. The email says the invitation expires in 7 days.
  • In your team list they show an Invited badge until they join.
  • An invited practitioner uses a seat as soon as the invitation is sent. Receptionists never use a seat.

What your team member does

  1. They select Accept invitation in the email.
  2. They create a Clinicify account with the email address you invited, or sign in if they already have one with that address.
  3. Once their email address is confirmed, they go straight to your clinic’s dashboard. They don’t go through the new clinic setup.

They must use the email address you invited. An account with a different address isn’t linked to your invitation.

If an invitation expires

Invitations last 7 days. After that, the badge in your team list changes to Invitation expired, and anyone who tries to use the old email sees Your invitation has expired.

Select Resend invitation next to their name to send a fresh one. You’ll see Sent. It’s valid for 7 days. You can also resend an invitation that hasn’t expired, for example if they can’t find the email.

If your seats are full

When you invite a practitioner and every seat on your plan is taken, the invitation isn’t sent. You’ll see a message saying how many practitioners your plan includes, with an Upgrade your plan link. You can still invite receptionists, because they’re always free. Seat limits don’t apply during your free trial.

Good to know

  • If you see A member with this email already exists in this clinic, that person is already on your team. Find them in the list instead.
  • A Clinicify account can belong to one clinic at the moment. If the person already belongs to another clinic, accepting your invitation doesn’t move them: they see a message asking you to invite a different email address.
  • Someone invited by mistake still uses a seat if they’re a practitioner. Remove them to free it.
  • Owner isn’t offered when you invite someone. The form says: “To make someone an owner, invite them first, then change their role once they’ve joined.”
  • You can change a person’s role or details at any time. See Change a team member’s role or details.
  • To see what each role can do, select View permissions at the top of the Team members page.
